How to Choose NAAC Accreditation Software: An 8-Point Evaluation Scorecard

Most institutions choose accreditation software from a demo. The ones that choose well score every vendor against the same criteria — framework coverage, real report outputs, data import, consistency across NAAC, NBA and NIRF, evidence, workflow and proof. Here is the scorecard our advisory team uses with institutions.

What should NAAC accreditation software do?

NAAC accreditation software should keep an institution’s data in one place and turn it into the documents NAAC asks for — the IIQA, the Self-Study Report and the AQAR — with the evidence behind every metric ready for Data Validation and Verification (DVV). Because the same faculty, student and outcome data also feeds NBA and NIRF, the strongest platforms keep one record for all three, so every number matches wherever it is reported.

The test that matters: ask every vendor to generate your actual submissions from your own data. A platform that can show the IIQA, SSR, AQAR, NBA SAR and NIRF data from one record — with the evidence one click behind each figure — is the one that will survive DVV.

The 8 criteria

Score each vendor from 1 to 5 on every criterion, then apply the weights. The weights reflect what most often goes wrong in NAAC, NBA and NIRF cycles: missing outputs, re-entered data and numbers that disagree.

CriterionWhat to checkHow to test it in a demoWeight
1. Framework coverageDoes it support the current NAAC Binary Accreditation and the Maturity-Based Graded Levels (MBGL) track, NBA’s GAPC v4.0 SAR formats, and all five NIRF parameters?Ask to see the current-format SSR, the Tier I or Tier II SAR and the NIRF DCS for your institution type — not a slide.15
2. Report outputsWhich documents does it generate end to end: IIQA, SSR, AQAR, NBA SAR, NIRF data, annexures?Ask for sample exports of each, in the exact format you submit. Dashboards are not submissions.15
3. Data captureCan it take data from your existing ERP, examination system or spreadsheets without re-entry?Bring one real export (faculty list, results) to the demo and watch it load.15
4. Cross-framework consistencyIs each fact entered once and reused for NAAC, NBA and NIRF, or kept in separate modules?Ask how the platform stops faculty count, intake or placement figures from differing between SSR, SAR and NIRF.15
5. Evidence managementIs evidence tagged to each metric, with department-wise uploads, version history and an audit trail?Ask what a DVV clarification looks like in the tool — can you find the document behind a number in one click?10
6. WorkflowCan IQAC assign metrics to departments, set deadlines and review or approve each entry?Ask to see a coordinator’s review screen and a department’s task list.10
7. Outcome-based educationDoes it compute CO, PO and PSO attainment — direct, indirect and weighted — for the NBA SAR and NAAC?Give one course’s marks and mapping and check the attainment matches your manual calculation.10
8. Implementation and proofWho sets it up, how long does it take, and which similar institutions use it?Ask for a reference you can call and a pilot with your own data before signing.10

Red flags in a demo

  • Only dashboards, no documents. If the vendor cannot export the SSR, AQAR or SAR in the submission format, you will rebuild them by hand.
  • Separate modules for NAAC, NBA and NIRF. Separate modules mean separate data entry — and three different numbers for the same fact.
  • No answer on data import. If your ERP or examination data cannot come in, someone will type it in again every year.
  • No reference you can call. Accreditation software is proven in DVV and peer team visits, not in a sales demo.

How to run the evaluation

  1. Write down what you submit. List every submission for the next three years: IIQA, SSR or AQAR, NBA SARs by programme, NIRF categories, AISHE. This is your requirement list.
  2. Shortlist three vendors. Choose vendors that cover all of your submissions, not only NAAC. A tool that covers one framework leaves you entering the same data again for the others.
  3. Send your scorecard before the demo. Share the eight criteria and ask each vendor to show every one with your institution type, not a generic demo.
  4. Bring real data to the demo. One faculty list and one course’s marks are enough to see data import, consistency and attainment working.
  5. Ask for sample outputs. Collect the SSR, AQAR, SAR and NIRF exports and compare them with the formats you actually submit.
  6. Call a reference. Speak to an IQAC coordinator at a similar institution about implementation time, support and DVV.
  7. Run a pilot. Load one department or one programme with your own data before committing to an annual contract.

How Master Data Map scores against the checklist

Master Data Map is Edhitch’s accreditation and ranking platform. Here is how it answers each criterion — and we invite you to test every line in a pilot with your own data.

CapabilityWhat it does
Framework coverageNAAC Binary and MBGL (DCF 2025), NBA SAR under GAPC v4.0 for Tier I and Tier II, all five NIRF parameters — plus AISHE, NEP 2020, THE, QS, AACSB, AMBA, EQUIS and ABET modules.
Report outputsIIQA, SSR and AQAR, NBA SAR with annexures, and NIRF data — every metric, generated as Word and Excel from the institutional record.
Data captureBulk import from Excel and from your existing ERP, or run with Edhitch’s own campus ERP so data flows in without re-entry.
Cross-framework consistencyOne institutional record: each fact is entered once and reused wherever NAAC, NBA or NIRF asks for it, with consistency checks across submissions.
Evidence managementEvidence vault tagged to each metric, with department-wise uploads, version history and a full audit trail — ready for DVV.
WorkflowIQAC assigns metrics to departments and coordinators, tracks status, and reviews and approves each entry before it reaches a report.
Outcome-based educationCO-PO and CO-PSO mapping with direct, indirect and weighted attainment, PO/PSO roll-up and the weakest CO behind each outcome.
Implementation and proofSet up and trained by Edhitch’s advisory team (12+ years in Indian accreditation). Live at Siddhartha Institute of Technology & Sciences, Hyderabad. Pilot with your own data available.

Frequently asked questions

What is the best NAAC accreditation software for colleges in India?

The best NAAC software is the one that generates your actual submissions — IIQA, SSR and AQAR — from your own data, keeps evidence ready for DVV, and also covers NBA and NIRF so the same data is not entered three times. Score shortlisted vendors on the eight criteria above and run a pilot before signing.

Should we buy a separate NAAC tool or use our ERP’s NAAC module?

An ERP module suits institutions that want one vendor for operations and reporting. A dedicated accreditation platform suits institutions whose priority is NAAC, NBA and NIRF quality, consistency and evidence. Either way, check data import, cross-framework consistency and real report outputs. Edhitch offers both: Master Data Map works alongside an existing ERP, or with Edhitch Campus ERP, which feeds it directly.

Does NAAC accreditation software need to support NAAC Binary Accreditation?

Yes. NAAC has moved to Binary Accreditation, with Maturity-Based Graded Levels as the path beyond it. Software should generate documents and evidence in the current format — ask vendors to demonstrate it, not just state it.

What should we ask for before signing a contract?

Sample exports of every document you submit, a reference at a similar institution, clarity on implementation, training and data migration, the total annual cost, and a pilot with your own data.

Can we pilot Master Data Map with our own data?

Yes. Edhitch sets up a pilot with your institution’s own data so your IQAC team can test data import, outputs, workflow and evidence before committing.

Does Master Data Map generate the IIQA as well as the SSR and AQAR?

Yes. Master Data Map generates the IIQA, the SSR and the AQAR from the institutional record, with the NBA SAR and NIRF data from the same record.
